In the past, Gables’ writers spent almost
half their time formatting files in Microsoft
Word. But with FrameMaker+SGML, says
Rodriguez, “One or two people can establish
an element definition document (EDD)
that locks in formats.” These preset styles
make writers more efficient while helping
Gables produce manuals that have a more
unified appearance and more reliable adherence
to ATA specifications.
The program’s simplicity is another plus.
“FrameMaker+SGML is very user friendly,”
says Rodriguez. “The interface is much easier
than that of ArborText and other programs
because the complexities of SGML are automated
or hidden, so users can focus on writing
rather than on structural technicalities.”

Gables’ writers frequently repurpose content
because many of the company’s products
are similar. “Through the Documentum
FrameLink application, we can access all
files stored in the Documentum system right
from within FrameMaker+SGML, which
makes it easy to reuse document elements,”
says Rodriguez. “We also can name and reuse
attributes, such as a part number, so we can
input it once at the outset and it will automatically
appear in every reference. Features
such as book-level search and replace let us
make multilevel, book-wide changes in seconds,
which is another valuable time-saver.”
Most Gables manuals include an illustrated
parts list that contains the majority
of the document’s 100 graphics. Rodriguez
and the technical writing team appreciate
the software’s ability to import graphics by
reference rather than by embedding them
into the file itself. “FrameMaker+SGML

any file format—SGML, HTML, or Adobe
Portable Document Format (PDF).”

Caxton trained the Gables team to use
FrameMaker+SGML, creating templates
based on the original Microsoft Word
versions. This enables Gables to convert
legacy files to FrameMaker+SGML. Caxton
also used the software’s extensible, C++
language-based development environment
to create a plug-in that automates one
of Gables’ most daunting documentation
tasks, generating and inserting Lists of
Effective Pages (LEPs) that track the dates
